Air freight quoting

Build air freight quotes from email, weight breaks and your own rates.

Freitt extracts the shipment, calculates chargeable weight, selects the valid band, adds the applicable charges and prepares the customer reply for review.

01Before

The greater-of rule, by hand, on every request.

Air pricing is arithmetic before it is judgement: volume against weight, the band that arithmetic lands in, and the minimum underneath both. It is not difficult. It is just done ten times a day, from dimensions typed into an email by somebody in a hurry.

  1. 01Read the dimensions out of the email, or out of a photographed packing list.
  2. 02Convert them if the customer used inches and your sheet is metric.
  3. 03Calculate volumetric weight on the divisor for that lane.
  4. 04Compare with actual weight and take the greater.
  5. 05Find which weight break that lands in — and check it is not just under the next one.
  6. 06Check the minimum charge does not beat both.
  7. 07Add fuel and security, then the pickup and delivery legs.
02Workflow

Air arithmetic, shown rather than assumed.

Every step of the calculation is on the quote, so a figure can be checked in seconds instead of recalculated.

  1. 01Read the shipment.Pieces, dimensions, actual weight, airports or doors, readiness date and Incoterms — from the email and its attachments.
  2. 02Calculate chargeable weight.Volumetric weight on the divisor your sheet uses, compared with actual weight, with the greater-of applied and both figures shown.
  3. 03Select the valid band. The weight break that the chargeable weight falls into, from a rate line that has not expired.
  4. 04Check the minimum. The minimum charge is applied where it beats the rated figure, rather than being remembered later.
  5. 05Add the charges your sheet lists.Fuel, security, pickup and delivery as their own lines, in the currency your sheet is written in.
  6. 06Draft the reply.Your format, terms and validity line, with every figure traceable back to the row it came from.
03Air, worked through

Chargeable weight, and the row it was rated on.

This is an air quote opened up: the volumetric calculation, the comparison that decided the chargeable weight, the band it landed in, the sheet and row it was rated from, the validity date, and the margin rule on top. Every one of those is a question a customer or a colleague can ask.

04When it cannot

What happens when something is missing.

This is the half of automation worth interrogating. Freitt says so rather than filling the gap — no invented rate, no assumed weight, nothing sent unread.

Missing dimsNo dimensions, so no volumetric weight.Chargeable weight cannot be calculated, so it is not guessed. One clarification email is drafted asking for exactly that.
Just under a breakThe shipment sits just below the next band. Both the rated figure and the next band up are visible, so the commercial call about rounding up is yours to make knowingly.
ExpiredThe airline sheet ran out.The line is excluded from selection and the gap is flagged, rather than an out-of-date cost being quoted with a healthy markup on it.
No laneThat airport pair is not in your sheets.Flagged, with a rate inquiry drafted to the carrier or agent you choose.

Use this when

  • Air RFQs arrive by email with dimensions in the body or an attachment.
  • Your airline and consolidator rates live in spreadsheets with weight breaks.
  • Minimum charges and the greater-of rule are being applied from memory.
  • You quote door-to-door as well as airport-to-airport.

Look elsewhere when

  • You need live airline capacity and direct eBooking — that is a carrier-connectivity platform.
  • You need spot market rates rather than your own contracted ones.
  • Charter and project air, where the price comes from a phone call rather than a sheet.
  • Your air rates exist only as PDF tariffs and have never been in a spreadsheet.

Air freight quoting, answered.

Something else on your mind? Bring it to a live quote session — thirty minutes, no deck, on one of your own RFQs.

The one your rate sheet is written on, per lane where your sheet varies it. The divisor used is stated on the quote so you can see which one was applied rather than inferring it from the result.

Yes. Actual and volumetric weight are both calculated and both shown, and the greater is used as the chargeable weight for band selection.

Applied where the minimum beats the rated figure. It is visible on the quote as the reason for the number rather than being an adjustment somebody remembers to make.

Yes, where your sheets carry the pickup and delivery legs. They appear as their own lines rather than being folded into the air freight figure.

The units are read as given and converted for the calculation. If the units are genuinely ambiguous, the field is flagged rather than assumed — an assumed unit is how a shipment gets quoted at a third of its real chargeable weight.

Where the numbers come from

It is only as good as the sheet behind it.

Your airline and consolidator sheets are mapped in their existing layout, with weight breaks, minimums and validity read as they are written.
