01Before

Nobody is quite sure which file is the current one.

Rate sheets are not the problem. Rate sheets scattered across a shared drive, an inbox and three people’s laptops, with no way to tell at a glance which lines are still valid, is the problem — and it is the reason a quote occasionally goes out on an expired rate.

  1. 01Find the sheet. Check it is the one the carrier sent last, not the one before.
  2. 02Find the tab, then find the lane inside it.
  3. 03Check the validity dates in a column nobody standardised.
  4. 04Read across for the basis, the minimum and the surcharges.
  5. 05Retype the numbers into the quote, or into a calculator first.
  6. 06Remember, or fail to remember, which markup this customer gets.
  7. 07Hope nobody asks six weeks later where the figure came from.
02Workflow

Mapped once, in the layout the sheet already has. There is no new rate format to learn and nothing to re-key.

  1. 01Start with the sheets you already use.Upload your existing Excel rate sheets. The columns are mapped during setup in the layout you keep them in, and the mapping is remembered for the next version of that file.
  2. 02Keep charges and validity visible.Rates, charges and validity dates become records you can see — including which lines are about to expire.
  3. 03Apply the right rate to the right shipment.The line that matches the lane, mode and basis of the request is selected, and expired lines are excluded from the choice.
  4. 04Handle missing and expired lines honestly.No valid rate means the gap is flagged and a carrier inquiry is drafted. It does not mean a price is estimated.
  5. 05Trace every quoted number.Each charge on the quote points back at its sheet, its row, its validity date and the margin rule applied on top of it.

A rate that cannot be traced is a rate you have to defend from memory. Every figure Freitt quotes names the file it came from, the row inside it, the date it is valid until, and the rule that was applied on top — which is a different conversation when a customer queries a price six weeks later.

What happens when something is missing.

This is the half of automation worth interrogating. Freitt says so rather than filling the gap — no invented rate, no assumed weight, nothing sent unread.

  • Your problem is collecting and normalising rates from dozens of partners — that is rate procurement, and a different category.
  • You need live spot rates and market benchmarking as a core requirement.
  • Your pricing genuinely lives in your team’s judgement rather than in any sheet. Get it into a sheet first; that is worth doing either way.

No. The sheet is mapped in the layout you already keep it in, during setup. Re-keying your rates into somebody else’s template is exactly the work this is meant to remove.

Upload it. The column mapping for that sheet is remembered, so a new version of a known file does not need setting up again.

Rate sheets are mapped from your spreadsheets. PDFs are read as attachments on an incoming RFQ, which is a different job — if your rates only exist as PDF tariffs today, bring one to the call and we will tell you honestly what is involved.

From the lane, mode and rating basis of the request, matched against the valid lines in your mapped sheets. When two could apply, it shows you both rather than choosing silently.

They stay as their own lines on the quote rather than being folded into a single number, so what is included and what is subject-to is visible to you and to your customer.
